Evidence guide · UK ↔ ES deductibility

Is your mobile phone bill deductible in the UK and Spain?

Business proportion allowable

HMRC accepts a reasonable business share of a mixed-use phone contract. If roughly 60% of your usage is business, claiming 60% of the bill is a defensible position — keep a note of how you arrived at the number.

🇪🇸 Spain (AEAT)

Hacienda expects a dedicated business line

Spain is stricter: inspectors routinely reject a personal line claimed at a percentage. The clean route is a line used exclusively for the activity — a second SIM or contract in your name. That bill, with a proper factura, is then fully deductible.

If you file in both countries

A classic UK-Spain divergence: the proportional claim that is fine for HMRC is exactly what Hacienda likes to strike out. If you file in both systems, a dedicated work SIM pays for itself in removed arguments.

Evidence to keep

  • Monthly facturas from the operator with your NIF (operators generate these on request)
  • For a UK proportional claim: a short note of the estimated business share
  • Payment by direct debit from an account you can show

Frequently asked questions

Is a dual-SIM phone enough for Spain?

The exclusivity attaches to the line, not the handset. A dual-SIM phone with a dedicated business number is the common practical setup.

Can I deduct the handset itself?

The handset follows the same logic as a laptop: business share in the UK; in Spain it is much easier to defend if the phone is genuinely for the activity.
